Terms of travel

1. Who we are

Mongolia Adventure Club is a small family-run tour operator from Khovd, in Western Mongolia, also operating out of Ulaanbaatar. When these terms say "we", "us", or "the Club", that's who we mean. "You" is the person booking and the travellers on the booking.

2. Booking

Submitting the request form is an enquiry, not a confirmed booking. Anji will reply with availability, a tailored itinerary, the complete price and any route-specific conditions. Your booking is confirmed only when both you and Mongolia Adventure Club agree those details in writing. No deposit or payment is taken online.

3. The balance

We quote each trip individually based on the route, group size, starting point and requested changes. You pay the agreed trip price in cash, in two parts: 50% when we meet in person and confirm the final plan — in Ulaanbaatar or Khovd — before the trip departs, and the remaining 50% on the last day. We do not take deposits, wire transfers or online prepayment.

4. Departures and group size

  • Trips run as private or small-group journeys, and routes are tailored to your timeline.
  • The season runs between June and September.
  • Dates remain provisional until confirmed in writing. If a requested date cannot run, we'll offer alternatives. We'll never run a trip we do not think is safe.

5. What's included

Unless your written quote says otherwise, the trip price covers your English-speaking guide (Anji), your off-road driver (Nima), the 4x4 vehicle and fuel, and the planned local experiences along the route. It does not cover flights, food, accommodation, visas, insurance, personal expenses, or entrance fees — you pay those yourself on-site. The exact inclusions and exclusions in your written quote take priority over this general description.

6. Your responsibilities

  • Hold a valid passport and any visa Mongolia requires for your nationality.
  • Carry your own travel and medical insurance — this is a requirement, not a suggestion.
  • Tell us honestly about medical conditions, dietary needs, and fitness so we can plan safely.
  • Behave with respect toward the families, animals, and places we visit.

7. Risk

These are expeditions into remote country with no quick way out, on rough tracks, far from hospitals and phone signal. Vehicles break down. Weather changes plans. You travel knowing and accepting these ordinary risks of remote travel. We carry the experience and equipment to manage them; we cannot remove them.

8. Changes to the route

We may change the route, lodging, or order of days because of weather, road conditions, the movements of the families we visit, or your safety. We'll always aim to keep the spirit and the highlights of the trip you booked.

9. Cancellation

How cancellations and refunds work — by you or by us — is set out in our cancellation policy, which forms part of these terms.

10. Liability

We're responsible for running your trip with reasonable care and skill. We're not responsible for losses caused by events outside our control, by your own choices against our advice, or by third parties such as airlines. Nothing here limits liability that can't be limited by law.

11. Governing law

These terms and your booking are governed by the laws of Mongolia. If a concern arises, please contact us first so we can try to resolve it directly and fairly. Any dispute that cannot be resolved by agreement will be handled by the competent courts of Mongolia, unless applicable consumer law requires otherwise.
